One record of the building, kept by the board
HearthlyOS is in early access. This page lists what works today and, separately, what we are building next.
Maintenance
Schedules that start from your province
Review a starting schedule for Alberta or Ontario, see where each item comes from, and adopt only what applies to your building.
Schedules run on fixed dates (every October) or from the last time the work was done (every 18 months). Pause one, change it, or catch up on missed work without losing track.
Tasks
The board's work in one inbox
Maintenance and other board work sit in one inbox, ordered by what needs attention first. A board view shows what is open, in progress and done.
Each task carries its comments and links to the unit, asset, resident or document it concerns.
History
Work records that stay honest
Record completed work with its date, cost and contractor, including work done before you started using HearthlyOS.
A mistake is fixed with a linked correction, so the original and the reason for the change both stay visible.
Everything else
Also in HearthlyOS
- Guided setup
- Setup walks the board through the profile, assets, schedule, units and residents. You can stop at any step and pick up later.
- Units, owners and residents
- Record who owns and lives in each unit, with move-in and move-out dates. Import residents from a spreadsheet, check the import before it saves, and export the owner list.
- Parking and storage
- Parking stalls and storage lockers are tracked separately from units, along with who holds each one.
- Assets
- Record the roof, boiler, windows and elevator with each one's age and condition. Pick from the standard list or add your own types.
- Documents
- Upload invoices, warranties, minutes and reports. Each file is checked for malware and can be linked to the tasks and assets it concerns.
- Board access
- Invite the other directors. Admins manage the board; everyone works from the same record.
- Contractor quotes
- Write a request for quote from a task, send it to contractors, and compare the replies side by side.
- Reserve fund projection
- A projection that updates from your assets, their expected life and the costs you have recorded.
- Reading documents
- HearthlyOS will suggest details from an uploaded invoice or report and show where each came from. Nothing is saved until the board confirms it.
Run your building on HearthlyOS
We are opening HearthlyOS to a small group of self-managed condo boards in Alberta first.
